Cancellation and No-Show Policy

Sprout Anew Mental Health Services LLC reserves appointment time specifically for each patient. Timely notice of changes allows us to offer appointments to others seeking care.
Cancellation and Rescheduling
Patients should cancel or reschedule an appointment at least [24/48] business hours before the scheduled start time. Requests may be submitted through the secure patient portal, the practice telephone number, or another approved scheduling method. A request is not final until acknowledged by the practice.
Late Cancellations and Missed Appointments
An appointment canceled with less than the required notice may be considered a late cancellation and may result in a fee of $55.
A patient who does not attend, does not enter the virtual room within the permitted waiting period, or cannot be reached may be recorded as a no-show.
A no-show fee of $55 may apply.
Insurance plans generally do not pay cancellation or no-show fees; these fees are ordinarily the patient’s responsibility.
Telehealth Appointments
- ✓ Join the secure virtual room approximately 10 minutes early.
- ✓ Complete required forms before the appointment.
- ✓ Test the camera, microphone, browser, and internet connection.
- ✓ Remain available by telephone if the video connection fails.
- ✓ Attend from a private, safe location in an authorized jurisdiction.
Technical difficulties should be reported promptly. Sprout Anew may waive or adjust a fee when circumstances warrant, but waiver is not guaranteed.
Late Arrival and Repeated Missed Appointments
Late arrival may reduce the available appointment time. When insufficient time remains to provide safe and appropriate care, the appointment may be rescheduled and treated as a late cancellation or no-show.

Emergencies and Exceptional Circumstances
Sprout Anew recognizes that emergencies occur. Patients should contact the office as soon as reasonably possible. Fee exceptions may be considered individually.
