First-Time Portal Registration

New patients will receive a secure portal invitation after their appointment request has been reviewed and accepted. To activate your account:

  • ✓ Confirm your name, date of birth, and contact information.
  • ✓ Create a strong password.
  • ✓ Complete any required identity-verification steps.
  • ✓ Review and accept applicable portal terms and privacy notices.

Important: Portal invitation links may expire. Contact the office when a link has expired or when you did not receive the invitation.

Expected Response Time

The Patient Portal is not monitored continuously.

✓ Routine portal messages are generally reviewed during normal business hours. Please allow approximately two business days for a response unless the practice communicates a different timeframe.
✓ Messages received after business hours, on weekends, or on holidays may not be reviewed until the next business day.
✓ Do not submit the same request through multiple channels, as this may delay processing.

Medication Refill Requests

Request routine prescription refills through the secure patient portal.

Please submit refill requests before your medication supply runs out and include:

✓ Any relevant concerns or side effects

Allow sufficient time for clinical review and pharmacy processing.

Refill requests may require:

✓ Medication monitoring
✓ Review of the prescription-monitoring program
✓ An in-person evaluation
✓ Confirmation of current symptoms
✓ Compliance with a treatment agreement
Submitting a refill request does not guarantee approval. Prescriptions are issued only when clinically appropriate and legally permitted.
Controlled medications may be subject to additional federal, state, clinical, and pharmacy requirements.

Appointment Changes and Cancellations

Use the portal or call the office to request an appointment change.

Please provide:

Appointment changes are not confirmed until you receive written or verbal confirmation from the practice.
Late cancellations and missed appointments may result in a fee under the practice’s cancellation policy.
Do not rely only on a portal message when an appointment is scheduled to occur soon. Call the office when immediate confirmation is needed.

Medical Records Requests

Patients may use the portal to request copies of available medical records or to authorize disclosure to another provider.

✓ Confirm the appointment date and time.
✓ Complete all required forms and questionnaires.
✓ Test your internet connection.
✓ Confirm that your camera and microphone are working.
✓ Allow browser access to your camera and microphone.
✓ Use a supported browser and updated device software.
✓ Join from a quiet, private, and well-lit location.
✓ Keep your telephone nearby in case the video connection fails.
✓ Have your identification, medication list, and pharmacy information available.
✓ Join the Virtual Room approximately 10 minutes before the scheduled appointment.

Device and Browser Check

For the best virtual-care experience:

✓ Use a smartphone, tablet, laptop, or desktop computer with a camera.
✓ Use a stable high-speed internet connection.
✓ Close unnecessary applications and browser tabs.
✓ Disable pop-up blockers when they interfere with the appointment link.
✓ Allow camera and microphone permissions.
✓ Use headphones when additional privacy is needed.
✓ Charge the device or connect it to a power source.
✓ Avoid public Wi-Fi whenever possible.
✓ Do not record the appointment unless all required parties have provided written consent.
The practice cannot guarantee the security of a patient’s personal device, network, or physical environment.

During the Virtual Visit

At the beginning of each telehealth appointment, you may be asked to confirm:

✓ Your full name and date of birth
✓ Your current physical location
✓ The state in which you are located
✓ Your callback telephone number
✓ Your emergency contact
✓ Whether you are in a private and safe setting
✓ Whether anyone else is present
Patients must be physically located in a state where the treating clinician is authorized to practice.
Do not participate in a telehealth appointment while driving, operating machinery, or engaging in an activity that may compromise safety or privacy.

Privacy During Virtual Care

Choose a location where others cannot overhear your appointment.

Recommended steps include:

✓ Close doors and windows
✓ Silence notifications
✓ Inform others that you require privacy
✓ Avoid public locations
✓ Position the device so the clinician can see and hear you clearly
✓ Do not share the appointment link with anyone
✓ Log out after the appointment
A parent, legal guardian, caregiver, interpreter, or other support person may participate when clinically appropriate and authorized.

Technical Problems

When you experience difficulty accessing the portal or Virtual Room:

✓ Confirm that you are using the correct secure link.
✓ Refresh the browser.
✓ Confirm your internet connection.
✓ Close and reopen the browser.
✓ Check camera and microphone permissions.
✓ Restart your device when necessary.
✓ Try another supported browser or device.
✓ Contact the office for assistance.
When the video connection fails during an appointment, keep your telephone available so the clinician or office may contact you.
Technical problems may require rescheduling when the clinician cannot safely or effectively complete the visit.

Portal Security

Protect your account by:

✓ Creating a strong and unique password
✓ Keeping your login information confidential
✓ Enabling multifactor authentication when available
✓ Logging out after each session
✓ Avoiding shared or public computers
✓ Not saving passwords on public devices
✓ Reviewing account information for unauthorized changes
✓ Reporting suspected unauthorized access immediately
You are responsible for maintaining the confidentiality of your portal credentials.
Do not allow another person to use your account unless proxy access has been formally authorized.

Proxy and Caregiver Access

Parents, legal guardians, caregivers, or authorized representatives may request proxy access where legally and clinically appropriate.

Proxy access may require:

Insurance verification does not guarantee payment. Patients remain responsible for deductibles, copayments, coinsurance, noncovered services, and other amounts assigned by the insurance plan.

Emergency and Crisis Limitations

THE PATIENT PORTAL IS NOT FOR EMERGENCIES.

The portal, secure messaging, voicemail, and appointment-request systems are not monitored continuously and should not be used when:

! You may harm yourself or another person
! You are experiencing a severe psychiatric crisis
! You are having a serious medication reaction
! You are unable to remain safe
! You require immediate medical attention
! Another person is in immediate danger
Call 911 or go to the nearest emergency department when immediate help is needed.
In the United States, call or text 988 to reach the Suicide & Crisis Lifeline.

Do not wait for a portal response during an emergency.

Important Portal Limitations

The portal does not:

✕ Guarantee an immediate response
✕ Replace emergency care
✕ Replace a scheduled clinical evaluation
✕ Guarantee approval of medication requests
✕ Establish a provider-patient relationship by itself
✕ Confirm an appointment until confirmation is issued
✕ Guarantee insurance coverage
✕ Provide care when the patient is outside an authorized service area
Clinical care begins only after the patient has been accepted by the practice and all required registration, consent, and eligibility requirements have been completed.
